Assets

The Assets section details the management of physical and digital assets within SnipeIT. This includes the creation and management of asset records, custom fields, and the overall asset tracking process.

Field Definitions:

Required Fields:

  • Asset Tag: Unique identifier assigned to the asset for tracking.

  • Serial: Serial number of the asset provided by the manufacturer.

  • Model: Model number or name of the asset.

  • Status: Current status of the asset (e.g., active, inactive, in repair).

  • Notes: Additional notes about the asset.

  • Default Location: Physical location of the asset within the premises.

  • OS: The operating system installed on the asset.

  • Physical Location: Detailed description of where the asset is physically located.

  • Organization Number: A unique identifier assigned by the organization for internal tracking.

Optional Fields:

  • Asset Name: Descriptive name of the asset.

  • Warranty: Details about the asset’s warranty.

  • Next Audit Date: Date for the next audit, which can be automated.

  • Order Number: Number associated with the asset order.

  • Purchase Date: Date when the asset was purchased.

  • EOL Date: End-of-life date for the asset.

  • Supplier: Supplier or vendor from whom the asset was purchased.

  • Purchase Cost: Cost of purchasing the asset.

Creating Custom Fields:

  1. Create a Custom Field:

    • Go to Admin Panel > Custom Fields.

    • Click Add Custom Field and enter details such as name, type, and options.

    • Save the new field.

  2. Assign Custom Field to Field Set:

    • Go to Admin Panel > Field Sets.

    • Select the field set you want to modify.

    • Add the custom field to the set and save changes.

  3. Assign Field Set to Model Asset:

    • Go to Admin Panel > Asset Models.

    • Select the model asset.

    • Assign the field set to this model and save changes.


Licenses

The Licenses section provides guidelines for managing software licenses within SnipeIT. This includes creating and defining license records and managing key details related to software and licensing.

Field Definitions:

Required Fields:

  • Software Name: Name of the software application.

  • Category Name: Category under which the software falls.

  • Seats: Number of seats or licenses purchased.

  • Min. Qty: Minimum quantity of licenses.

  • Product Key: Key or serial number for the software.

  • Company: Company providing the software.

  • Manufacturer: Manufacturer of the software.

  • Licensed to Name: Name of the individual or entity the license is assigned to.

  • Licensed to Email: Email address of the license recipient.

  • Reassignable: Indicates if the license can be reassigned.

  • Supplier: Supplier or vendor from whom the software was acquired.

  • Order Number: Order number associated with the purchase.

  • Purchase Cost: Cost of purchasing the software.

  • Purchase Date: Date when the software was purchased.

  • Expiration Date: Date when the license expires.

  • Termination Date: Date when the license was terminated.

  • Purchase Order Number: Purchase order number related to the software acquisition.

Optional Fields:

  • Depreciation: Depreciation details for the software.

  • Maintained: Indicates whether the software is maintained.

  • Notes: Additional notes related to the software license.


Accessories

The Accessories section covers the management and definition of accessories related to primary assets. Accessories include items such as chargers, cases, and other supplementary hardware.

Field Definitions:

  • Name: Name of the accessory.

  • Description: Detailed description of the accessory.

  • Category: Category under which the accessory falls.

  • Location: Physical location where the accessory is stored.

  • Quantity: Number of accessories in stock.


Consumables

Overview:
The Consumables section deals with tracking and managing consumable items used during regular operations. Consumables typically include office supplies, printer cartridges, and similar items.

Field Definitions:

  • Name: Name of the consumable item.

  • Description: Detailed description of the consumable.

  • Category: Category under which the consumable falls.

  • Location: Physical location where the consumable is stored.

  • Quantity: Number of consumables in stock.


Components

Overview:
The Components section provides guidelines for managing and defining parts used for assembling, repairing, or maintaining primary assets. Components are crucial for asset upkeep and functionality.

Field Definitions:

  • Name: Name of the component.

  • Description: Detailed description of the component.

  • Category: Category under which the component falls.

  • Location: Physical location where the component is stored.

  • Quantity: Number of components in stock.


People

The People section covers the management of users or groups associated with asset management. This includes defining roles, permissions, and organizational structure related to asset tracking and management.

Field Definitions:

  • Name: Name of the person or group.

  • Role: Role assigned to the person or group.

  • Email: Contact email of the person or group.

  • Department: Department to which the person or group belongs.

  • Location: Location associated with the person or group.
