Archive Email Messages in Outlook

While WWU cannot increase the size of our mailboxes (99GB), there are a few things we can do to free up space if necessary. 

First, see how much free space you have available, by clicking the File menu in Outlook and viewing the size under Mailbox Settings

If you have less than 10GB free, you should archive some old messages, which removes them from your mailbox folders and saves them in an Outlook data file that you can store on your computer and OneDrive. 

Here are the instructions to archive messages:

  1. In Outlook, click File > Tools > Clean Up Old Items

  2. Then select the specific folder(s) containing messages that you want to archive, choose a date to archive items older than that, then name the archive file and choose it’s location. For example, you could archive everything older than 1/1/2017 and name the file 2016 and older email.
