Share OneDrive files or folders with people outside of WWU

You can share OneDrive files or folders with external (non-WWU) people, providing them with view-only access or permission to modify the files.

  1. Click the Share button (the arrow) next to the file or folder you would like to share

     

  2. By default the link you send is for View Only access. If you would like to share with permission to edit, click the “People you specify can view” button at the top to see more options. Check the box to Allow Editing. Enter the email address(es) of the individuals you would like to send a link to. Add a message if desired, and click the SEND button.

     

  3. The recipient(s) will receive an email message from you that says you shared a file or folder with them.

How the recipient opens the file or folder

  1. Open the email that includes the link to the file or folder

     

    1. If the recipient has a Microsoft account associated with their email address (it can be a free Outlook.com or Live.com account, as well as a work or school account) they will be prompted to sign into their Microsoft account if they are not already signed in.

       

    2. If the recipient does not have a Microsoft account, they will be prompted to enter a validation code they receive via a new email message.

       

  2. After they sign in or verify with a code, the file or folder will open.

  3. To avoid issues they should always use the original link you shared via email to open the file or folder. (Those with Microsoft accounts can bookmark the location, but non-Microsoft accounts will always need to use the link and enter a verification code.)

     

If the recipient attempts to sign in directly to Western’s Office 365 environment, they will see an error that says something along the lines of, “We're sorry, but your email address can't be found in the wwu2-my.sharepoint.com directory.”

To resolve this error they should use the link you sent in your original sharing message to open the file or folder.
